Location: Hybrid working - Based in North East Scotland
Contract Type: Part-time 21.5 hours per week, Two-Year Fixed Term (Potential to become Full-Time)
Salary: £30,000-£38,000 pro-rata dependent on experience
Anticipated Start: May 2025
About NESFIT
The North East Scotland Retrofit Hub (NESFIT) is dedicated to supporting and accelerating the retrofit of homes across the North East of Scotland. We work with homeowners, businesses, and local authorities to provide information, advice, and support on whole house retrofit, helping to address fuel poverty, create warmer, greener, and more affordable living and working spaces. NESFIT has recently secured funding to expand its capacity and impact, and we are seeking a highly motivated and organised Project Coordinator to play a key role in this exciting new phase. There is potential for this role to become full-time should further funding applications be successful.
About the Role:
NESFIT is seeking a part-time Project Coordinator for a two-year fixed term contract to assist in building organisational capacity following a recent successful funding award. This is a fantastic opportunity for a proactive individual to contribute to the growth and development of a vital organisation working towards a sustainable future. The Project Coordinator will provide essential administrative and project support, enabling NESFIT to effectively deliver its services and achieve its strategic objectives.
Key Responsibilities
Establishing Business Systems: Contribute to the development and implementation of efficient and effective business systems, including project management tools, CRM systems, and data management processes.
Project Support: Provide comprehensive project support, including scheduling, budgeting, reporting, and tracking progress against milestones.
Stakeholder Engagement: Work alongside the directors of NESFIT to assist in communication and engagement with key stakeholders, including homeowners, contractors, local authorities, and community groups.
Travel: Required to travel around Aberdeen, Aberdeenshire and Moray.
Administrative Support: Provide general administrative support, such as managing correspondence, organising meetings, preparing reports, and maintaining records.
Financial Administration: Support financial administration tasks, including processing invoices, tracking expenses, and assisting with budget monitoring.
Event Organisation: Assist in the planning and organisation of events, workshops, and training sessions.
Data Collection & Analysis: Support the collection, analysis, and reporting of data related to retrofit projects and Hub activities.
Membership Development: Establish and build NESFIT memberships, developing membership benefits, and managing membership records.
Community Engagement: Engage with communities and NESFIT stakeholders to raise awareness of retrofit opportunities and promote NESFIT’s services.
Funding Applications: Assist in applying for further funding for NESFIT to ensure the long-term sustainability of the Hub.
Secondary responsibilities
Policy & Research: Assist with research and analysis of relevant policies and best practices in the retrofit sector.
Membership Meeting Facilitation: Facilitate monthly membership meetings, preparing agendas, minutes, and action items.
Website and Marketing Support: Contribute to the development and maintenance of the NESFIT website and creation of marketing materials, including content creation and social media management.
Other duties: As required to support the overall objectives of NESFIT.
Essential Skills and Experience
Proven experience in project coordination or administration.
Excellent organisational and time management skills, with the ability to manage multiple tasks simultaneously.
Strong communication and interpersonal skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience of establishing and implementing new systems and processes.
Ability to work independently and as part of a team.
A passion for sustainability and energy efficiency.
Full UK Driving license and own vehicle.
Desirable Skills and Experience
Understanding of the construction industry.
Understanding/affinity of third sector organisations.
Familiarity with project management methodologies.
Experience with CRM systems.
Knowledge of relevant funding programmes and regulations.
Experience in membership management or community engagement.
Experience with website management and marketing.
